How to Set Up Your Email Account

The following information is intended to offer a broad overview for setting up your email accounts in Microsoft Outlook Express and in Apple Mail.

For further information on other email clients, setting up email accounts on mobile phones, or other technical queries please contact your preferred IT professional. Or try one of the many How To guides available on the internet for your chosen email program.

Note: the following applies to clients who have their email services provided by Hart Design

Outlook Express

  • Open Outlook Express, select E-mail Accounts from the Tools menu

To create a NEW email account:

  • Select Add » Mail... and follow the prompts
  • Ensure you have POP3 selected as your incoming mail server type
  • Your Incoming Mail Server is pop3.yourdomain.co.nz (replace "yourdomain.co.nz" with your website address, for example "hartdesign.co.nz")
  • Your Outgoing Mail Server depends on who provides you with your internet connection. (For example, if your ISP is Xtra, your outgoing mail server will most likely be smtp.xtra.co.nz. For further advice contact your ISP)
  • For Account Name, use your email address
  • For Password, enter the password we've provided you with
  • Typically you can leave all other settings as per defaults

Or, to edit an EXISTING email account:

  • Select your email account from the list and hit the Properties button, and view the Servers tab
  • Your Incoming Mail Server is pop3.yourdomain.co.nz (replace "yourdomain.co.nz" with your website address, for example "hartdesign.co.nz")
  • Your Outgoing Mail Server depends on who provides you with your internet connection. (For example, if your ISP is Xtra, your outgoing mail server will most likely be smtp.xtra.co.nz. For further advice contact your ISP)
  • For Account Name, use your email address
  • For Password, enter the password we've provided you with
  • Typically you can leave all other settings as per defaults

Apple Mail

  • Open Mail, select Preferences... from the Mail menu and go to the Accounts tab

To create a NEW email account:

  • Hit the plus-sign (+), bottom left of the Preferences window
  • Enter you Name and Email Address, and enter the Password that we've supplied you with
  • For Account Type choose POP
  • For Description, enter your name
  • For Incoming Mail Server enter pop3.yourdomain.co.nz (replace "yourdomain.co.nz" with your website address, for example "hartdesign.co.nz")
  • For Username, ensure your full email address is used
  • Hit Continue and accept any message which may pop up
  • For Outgoing Mail ServerDescription, enter your ISP's name (this does not have to be exact)
  • Your Outgoing Mail Server depends on who provides you with your internet connection. (For example, if your ISP is Xtra, your outgoing mail server will most likely be smtp.xtra.co.nz. For further advice contact your ISP)
  • Hit Continue and Create to finish

Or, to edit an EXISTING email account:

  • Select your email account from the  Accounts list (left of Preferences window)
  • View the Account Information tab
  • For Incoming Mail Server enter pop3.yourdomain.co.nz (replace "yourdomain.co.nz" with your website address, for example "hartdesign.co.nz")
  • For Username, ensure your full email address is used
  • Enter the Password that we've supplied you with
  • Leave Outgoing Mail Server unchanged
